Due to the nature of the job, evening and weekend work is inevitable. No overtime is payable, but time off in lieu will be given where possible Job summary: To support the sales team by ensuring the efficient day to day running of the Box Office. To work within the Sales and Marketing department and ensure the box office provides an effective and customer orientated ticket sales and enquiry function for events taking place in the theatre and elsewhere in the community using a computerised system. Main areas for responsibility To provide an effective customer orientated ticket sales and enquiry function for events taking place at Theatre Royal Wakefield and elsewhere in the community using a computerised booking system. Maintain the highest level of customer care, ensuring that Theatre Royal Wakefield is presented as welcoming, accessible and friendly to existing and potential customers. Communicate marketing initiatives to box office staff, ensuring that they are suitably informed of the background and selling points of Theatre Royal Wakefields forthcoming events programme. To process tickets sold through Theatre Royal Wakefields online ticketing module. Personnel management To motivate, support and assist in the development of the Box Office Assistants. Support the Box Office Manager in managing the box office staff with particular regard to attendance, punctuality and appearance. Deputise for the Box Manager. Groups and Schools Bookings Become proficient in the use of Databox as a ticketing and reporting facility with particular reference to group and school booking procedures, in order exploit this to its full potential. Administrate procedures related to school and group bookings. Show generation and creation Assist the Box Office Manager in the creation and generation of new shows within the Databox system. Ensure that details are proofed, dates, times and pricing structures are correct and that shows are on sale in a timely fashion. Ticket agent administration Work with the Box Office Manager and Finance Department to balance monies and tickets sold by agents on a monthly basis. Theatre Tokens Work with the Box Office Manager and Finance Department to deal with monthly sales and return figures and ensure all monies received are correct. Keep track of sales and order more stock as required. Rectify all errors in conjunction with the Box Office Manager and the Finance Department. Visiting company liaison Provide theatre companies with up to date figures for their shows in the appropriate format. Marketing department liaison Keep the Box Office updated with relevant material from the Marketing Department, including Box Office briefing sheets, direct mail letters, adverts and promotional offers. External Bookings To process bookings from external societies, agents and others using Theatre Royal Wakefields booking system. Reservations Manage the reservation system in conjunction with the Box Office Manager. Banking Be responsible for day to day box office banking and box office floats, alongside rectifying any banking errors in conjunction with the Finance Department and with support, as required, from the Box Office Manager. Support the theatres financial and administrative function and ensure all their requirements are met. Provide assistance with the development of procedures for accounting and management purposes with support, as required, from the Box Office Manager. Tickets.com liaison Develop an extensive understanding of the technical issues relating to Databox and Tickets.com (our software providers). Assist in resolving any technical issues as when required. General up keep Keep the Box Office tidy and obtain supplies when required. Display information via notice boards / circulate sales information as requested. Other Duties Undertake any other duties, consistent with the post, as required by the Box Office Manager. Maintain an awareness and understanding of the large number and variety of projects with which the sales and marketing department are involved in, in order to be able to provide support as and when required.
